Privacy and marketing policy
What we collect, why we collect it, who we share it with and how to make us stop. Written to be read rather than skimmed past.
The short version
We collect your name, email and a few details about what you want to learn. We use them to reply to you and, if you opt in, to send occasional emails. We use analytics and advertising cookies, which you can refuse. We share marketing lists between French Language Tutoring and French Language Worksheets, because they are run by the same person. We never sell your data.
Who we are
French Language Tutoring and French Language Worksheets are run by the same person and are treated as one organisation for data purposes. When you give your details to either site, both may use them as described in this policy.
For any question about your data, email admin@french-language-worksheets.com.
What we collect
When you fill in a form: your name, email address, country, what you want help with, preferred dates and times, your detected time zone and anything you write in the message box.
When you become a learner: lesson notes, progress records, payment records, and for anyone under 18, a parent or carer's contact details.
Lesson recordings: lessons are recorded for notes and for learners to rewatch. This is covered in full in our safeguarding policy, including how to opt out.
When you browse: pages visited, how you arrived, approximate location, device and browser. Only if you accept analytics and advertising cookies.
We do not collect bank details through this website. Payments are made by bank transfer directly to our Wise account.
Why we use it, and our lawful basis
To reply to your enquiry and deliver lessons. Basis: performing a contract with you, or taking steps before entering one.
To send marketing emails. Basis: your consent, given by ticking the box on a form. Existing customers may receive emails about similar services under the soft opt-in rule, and every email carries an unsubscribe link.
To run analytics and advertising. Basis: your consent, given through the cookie banner.
To keep financial and safeguarding records. Basis: legal obligation.
We do not use automated decision making or profiling that produces legal or similarly significant effects.
Cookies and tracking
Essential cookies keep the site working and cannot be turned off. Everything else runs only if you accept it in the cookie banner, and you can change your mind at any time through the cookie settings link in the footer.
| Tool | What it does | Type |
|---|---|---|
| Google Analytics | How many people visit and which pages they read | Analytics |
| Microsoft Clarity | Records how people scroll and click, so we can fix confusing pages | Analytics |
| Google Search Console | Shows which searches bring people here. Sets no cookies | Essential |
| Google Ads | Measures which adverts lead to enquiries, and shows adverts to people who visited | Advertising |
| Microsoft Ads | The same, for adverts on Bing | Advertising |
| Meta Pixel | Measures adverts on Facebook and Instagram, and shows adverts to people who visited | Advertising |
Advertising audiences
If you have consented to marketing, we may upload your email address to Google Ads, Microsoft Ads or Meta so that we can show you relevant adverts, or avoid showing you adverts for something you have already bought.
We may also use those lists to build lookalike or similar audiences. That means the platform finds people whose behaviour resembles our existing customers and shows adverts to them. It does not share your details with those people, and it does not tell advertisers who you are.
Email addresses are hashed before upload, which means they are converted into a scrambled string rather than sent in readable form.
If you withdraw consent or unsubscribe, we remove you from these audiences at the next update. Because the platforms refresh on their own schedule, this can take up to 30 days to take full effect.
We never upload the details of anyone under 18, or of a parent in connection with a child's lessons, to any advertising platform. Advertising audiences are built only from adults who have opted in.
Email marketing
Marketing emails are sent only to people who have ticked the opt-in box, or who are existing customers receiving updates about similar services.
One list is shared between French Language Tutoring and French Language Worksheets, so you may hear about worksheets as well as lessons. This is made clear at the point you sign up.
Every email has an unsubscribe link that works immediately. Unsubscribing from marketing does not stop the emails you actually need, such as lesson confirmations, invoices and homework.
Who we share it with
We use these companies to run the business. Each only gets what it needs:
- Shopify, which hosts both websites
- Our email provider, which sends marketing emails
- Wise, which handles payments
- Google, Microsoft and Meta, for analytics and advertising, and only with your consent
- Our video call provider, which hosts lessons and recordings
Some of these are based outside the UK, mostly in the United States. Where that happens, transfers are covered by the UK International Data Transfer Addendum, EU Standard Contractual Clauses or an adequacy decision.
We will also disclose information where the law requires it, or where a child may be at risk of harm, as set out in our safeguarding policy.
We do not sell your data to anyone, ever.
How long we keep it
We keep your information only as long as we need it. Enquiries that do not lead to lessons are cleared out once it is clear nothing is going ahead. Learner records and lesson recordings are kept while you are learning with us and for a reasonable period afterwards, in case you come back. Payment records are kept for six years, as tax law requires, and safeguarding records for as long as the relevant guidance requires. You stay on the marketing list until you unsubscribe.
We are a small operation and do not run an automated deletion schedule. If you want anything removed, email admin@french-language-worksheets.com and we will delete whatever we are not legally required to keep.
Your rights
You can ask us to:
- Show you what we hold about you
- Correct anything that is wrong
- Delete it, where we are not legally required to keep it
- Stop using it for marketing, which we will always do
- Send you a copy in a portable format
- Restrict or object to how we use it
Email admin@french-language-worksheets.com and we will respond within one month. There is no charge.
A parent or carer can exercise these rights on behalf of a child.
Children's data
Lessons for anyone under 18 are arranged through a parent or carer, and it is their contact details we hold and correspond with. Every learner speaks to Kieran in an introductory chat before lessons begin, so we know who we are teaching.
We do not ask for proof of age. If we become aware that we hold details for someone under 18 who contacted us directly, we move the account to a parent or carer and remove the learner's details from any marketing list.
Children's data is never used for marketing or advertising, and is never uploaded to an advertising platform. Our advertising audiences are built only from adults who have actively opted in.
If you believe we hold data about a child and would like it removed, email admin@french-language-worksheets.com and we will deal with it promptly.
Complaints
Please come to us first. If you are not satisfied, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. If you are in Australia, the Office of the Australian Information Commissioner at oaic.gov.au.
